Terms & Conditions
The ground rules for working together.
Last updated: January 2025
These Terms & Conditions govern the event planning services provided by The Organizer Syed ("we", "us", "our"), operated by Syed Rehmani. By engaging our services, requesting a quotation or confirming a booking, you ("the client") agree to these terms.
1. Our Services
We provide event planning, coordination and related services — including weddings, destination weddings, corporate events and launches, celebrations, workspace setup and travel & concierge services. The exact scope of services for your occasion will be confirmed in a written proposal or agreement before work begins.
2. Quotations & Proposals
- Quotations are based on the information you provide (event type, date, guest count, requirements) and are valid for 15 days unless stated otherwise.
- Prices quoted may change if your requirements, guest count, dates or vendor rates change after the quotation is issued.
- Third-party costs (venues, catering, travel, décor, etc.) are passed on as quoted by the respective vendors and are subject to their availability and price changes.
3. Bookings & Payments
- A booking is confirmed only after a signed agreement and advance payment, the amount of which will be stated in your proposal.
- Unless otherwise agreed in writing, the typical schedule is: an advance to secure the date, a progress payment during planning, and the balance due before the event date.
- All payments are made to The Organizer Syed's official account or through payment methods confirmed by us in writing. We are not responsible for payments made to any other account.
- Vendor, venue and travel bookings made on your behalf must be paid by the deadlines communicated to you. Late payments may result in loss of bookings, and any resulting charges are the client's responsibility.
4. Changes & Cancellations
- By you: If you cancel a confirmed booking, the advance payment is non-refundable, as it covers work already performed, reserved dates and commitments made to vendors. Cancellation charges for third-party bookings (venues, catering, travel, etc.) will also apply as per those vendors' policies.
- Postponements: Date changes are subject to availability. We will do our best to move bookings, but new vendor/venue charges or price differences may apply.
- By us: In the unlikely event that we must cancel, any payments made for services not yet delivered will be refunded, less costs already committed on your behalf.
- Force majeure: Neither party is liable for failure to perform due to events beyond reasonable control (natural disasters, government restrictions, civil unrest, pandemics, etc.). In such cases we will work with you on rescheduling; third-party refund policies will apply.
5. Client Responsibilities
- Provide accurate, complete and timely information, decisions and approvals needed for planning.
- Ensure timely payment as per the agreed schedule.
- Respect venue rules and vendor terms at the event.
- Treat our team and vendors with courtesy. We reserve the right to end an engagement in cases of abuse, harassment or non-payment, without refund of the advance.
6. Vendors & Third Parties
We coordinate with trusted vendors and venues, but we do not own or employ them. While we vet suppliers and manage them closely, each vendor remains responsible for the quality and delivery of its own service. Where a vendor fails to perform, we will use our best efforts to find a substitute or negotiate a remedy on your behalf.
7. Photography & Marketing
We love showing our work. Unless you tell us otherwise in writing, you grant us permission to photograph events we organize and to share images and videos on our website and social media (Instagram, Threads and similar). If you prefer your event to remain private, just let us know — we will fully respect that at no extra cost.
8. Liability
- We perform our services with reasonable skill and care. Our liability for any claim relating to our services is limited to the professional fees you paid us for that event.
- We are not liable for the acts, omissions or failures of third-party vendors, venues or transport providers, nor for indirect losses (such as travel costs or emotional distress).
- Nothing in these terms limits liability that cannot be limited by law.
9. Intellectual Property
Event concepts, designs, themes and plans created by The Organizer Syed remain our intellectual property until full payment is received, after which they are yours for the purpose of your event. Website content, branding and materials on theorganizersyed.com may not be copied or reused without written permission.
10. Governing Law
These terms are governed by the laws of Pakistan, and any disputes will be subject to the jurisdiction of the courts of Pakistan. We will always try to resolve any issue amicably first — talk to us.
11. Changes to These Terms
We may update these terms from time to time. The version in effect on the date your booking is confirmed will apply to that engagement.
